Get Billy's Excel spreadsheet in Microsoft Teams with the Import command, fill out your team's birthdays and work anniversaries, and upload it back.

Microsoft TeamsUpdated Oct 5, 20262 min read

In Microsoft Teams, Billy admins can add many birthdays and work anniversaries to Billy at once with an Excel spreadsheet. You get it with the Import command, fill it out, then upload it back in your 1:1 chat with Billy.

Step 1: Type Import and click Allow#

In your chat with Billy, type Import (or click Download spreadsheet on the Status card). If you manage several teams, pick the team first.

Billy replies "Here is your Excel spreadsheet to review and complete the dates of …'s members:" with a Teams file permission card. Click Allow.

Teams saves the file to your OneDrive and Billy posts it in the chat. If you click Decline, Billy answers "No problemo! We can do this later ☺️".

Step 2: Download the file#

Click the three dots (…) next to the file name and select Download.

Step 3: Fill out the spreadsheet#

Column Notes
Email Identifies the member. Don't change it.
Name For reference only
Birthday month (1-12), Birthday day (1-31) No birth year
Work anniversary month (1-12), Work anniversary day (1-31), Work anniversary year (YYYY) Only when work anniversaries are on
  • Don't rename the columns or the sheet tab (Users (ID=…)): Billy uses them to know which team the file is for.
  • The headers are always in English.
  • To delete a date, see remove someone's date in Microsoft Teams.

Step 4: Upload the file#

In your 1:1 chat with Billy, click the paperclip icon below the message box, attach the file and send it.

Billy replies "Successfully updated N users ✅". Only rows for members of the team named in the sheet tab are read.

If Billy can't read the file#

Billy answers "Did you try to send me the updated team-members list?…" when the columns or the sheet name were changed. Type Import to get a fresh file and copy your dates into it.

Only Billy admins can import files, and only in the 1:1 chat. To add an admin, see add Billy admins in Teams.
