Remind people to complete their Linky profile

Linky admins can send a Slack reminder to everyone on the org chart who left a required profile field empty that they're allowed to fill in themselves.

When people leave required fields empty, Linky admins can send them a reminder in Slack with a link to the org chart. Linky is the BuddiesHR org chart app for Slack. You need to be a Linky admin.

Who gets the reminder#

A person gets a reminder when they're on the chart and are missing at least one field that is:

  • turned on,
  • set to Is required to be filled in, and
  • set to Employees can edit this field.

Fields only admins can fill in never trigger a reminder. To set these options, see customize profile fields.

Step 1: Check who will be notified#

Open Linky in Admin mode and go to the Settings tab. The Profile completion section shows how many people will be notified, for example "3 user(s) will be notified."

If it shows Nothing to notify, either every profile is complete or the missing fields can't be edited by employees.

Step 2: Preview the reminders#

Click Notify users. The "Notify users with incomplete profiles" window lists each person with their email, the fields they're missing and a preview of the message.

The Linky Settings tab, with the Notify users button highlighted

People with no Slack account, such as people added by hand, are skipped.

Step 3: Send#

Click Send notifications.

Each person gets a Slack message from Linky saying who asked, listing the fields that need their input, with an Update my profile ↗️ button that opens the org chart. They then click their own card and Edit Profile infos, see update your profile.

To see how many profiles are incomplete at any time, check the Profile completion status card in Linky's Home tab. See what's on Linky's Home tab.
